Summary of Topics, Questions and Answers from Initial Site Telephone Conferences.
Although many of the topics covered in the conferences were similar across sites, there were also some specific questions asked by individual sites. To make sure all sites have the same information, the main points are covered below.
• Sites will be randomized through a phone call with Jan Miller-Heyl. Staff in the core DARE to be You office will flip a coin to determine which sites are family based and youth only. Therefore all potential sites must be recruited to be willing to participate in either group.
• Once a site/community/church is drawn into a group, they will stay in that group for the entire time.
• Sites can be expanded to include more subgroups in subsequent years to allow us to reach enough families or youth to fill our cohorts.
If a site is a church or other identifiable organization, you can recruit participants in that community outside of that organization. The main consideration is that they remain “non-contamination to their matched pair for the research.
• The curriculum is
o The family curriculum as used in the existing CTW program
Adult manual with youth/adult activities
Youth manual with youth/adult activities
o The youth only curriculum
Youth manual with congruent youth activities replacing the parent-youth criteria.
o Sibling manuals that are designed to match the family curriculum. Sites may also supplement with the DTBY k-12 manuals.
• The Curriculum will be provided to the sites:
o Hard covered manuals will be provided at the on-site training.
o Each facilitator will receive a hard covered manual for their audience.
o The site coordinator will receive the three volume set of parent and the two youth manuals.
o The sibling coordinators will receive the three volume set of sibling manuals.
• The curriculum has to be reviewed and approved by the funding agency. We anticipate submitting it the last week of November so we can start printing mid December.
• Training. We will schedule 30 hour on-site training in response to individual site timelines (as closely to desired times as our schedule allows). The training will include
o Requirements of the funding agency
o Recruiting
o Theory and Activities for both youth and adult curricula
o Process Evaluation reporting
o Outcome evaluation including the logic model, survey instruments and how they relate to the logic model and the activities, how to gain consent and assent from participants, how to administer surveys, and the tracking procedures for follow up surveys.
o Other reporting procedures
o One on one process time for individual site requirements.
• Incentives. The incentives can be cash or gift cards for the adults and will be gift cards for the youth.
o Parents or significant family members receive $150 for completing 20 hours of class and the baseline survey. Two significant adult family members/family can earn this incentive, this is to encourage the partner in the parenting process to also attend. This is not to be broken into two payments but given as one award for the combined survey and workshop.
o Youth in both family and youth-only program will receive a $50 gift card for completing the survey and 20 hours of workshops.
o Parents will receive $30 for completing each of the Six, 12 and 24 month follow up surveys.
o Youth will receive $20 for each of the 3 follow up surveys.
• The staffing section of the replication manual has been posted on this blog. Please review as some changes were required after our site visit. You may also make recommendations on this section before it is printed as a final manual.
The sibling coordinator must be a trained adult who prepares and conducts the sibling classes, and if necessary supervises teen assistants who help with the siblings.
• Advertising. Several samples of fliers, newpaper briefs and a brochure will be e-mailed to each site.
• Monthly communication will include Breeze/Webinar sessions with all sites.
• Budget. The multiple questions on the budget will be answered individually. We will provide each site with a budget format for billing that will also include a way to report the in-kind match for the billing period. This can be followed from the original budget.
• Subcontracts will be paid as reimbursement. CSU can be billed on a predetermined schedule. These invoices can be submitted regularly and do not have to wait for completion of all work, ie. An entire workshop series.does not have to be completed before billing occurs.
• The number/cohort is set at 20. We will key that as our objective and revisit our objectives at the yearly miniconference in the fall. The number of participants needs to provide the correct “power” for our statistical analysis so this is a decision that will be made in conjunction with evaluators and the project officer.
• Each site will have a liaison in addition to the PI who will participate in the on-site training. These persons will be an asset for dealing with technical issues of the program. The liaisons will be Dana Cox and Renee Podunovich. You can meet them on this blog.
